03 / Portals

Give customers a clear view of their own work

A portal is useful when it removes a recurring question or exchange. A customer checking a request should see a meaningful status and the information they are allowed to use. Staff should not have to maintain a second, contradictory version of the same work just to keep the portal looking current.

Choose the first complete task

We start with one journey: submitting a specification, retrieving a document, approving a proposal or checking a service request. We identify the customer organisation, its users, the staff role responsible and the record that settles the result. That gives the build a clearer direction than a broad request for a dashboard.

In an illustrative supplier portal, a purchasing contact may prepare a request while a different person approves it. The business account, individual identity and billing contact should not be treated as interchangeable. We can implement invitations, organisation membership, record access and deliberate ownership changes alongside the visible interface.

Make exceptions part of the screen

Scope can include portal design, authenticated journeys, file exchange, account administration and integration with existing tools. Empty lists, rejected uploads, expired invitations and temporarily unavailable information receive their own explanations. Dutch and English interface wording is planned with an identified reviewer where both are required.

Demonstrate separation and recovery

We use invented organisations with distinct records to check direct requests, downloads, changed identifiers and access removal. A hidden link is not an access check. More sensitive systems may need specialised security or privacy assessment beyond the application implementation; that work is identified separately.

For handover, the owner should understand who can grant access, where unfinished requests appear and how a customer gets help. Bring a safe example of the information customers repeatedly ask for, the current source of that information and the people who may see it. A small portal that completes that task may be a better first step than replacing every internal system.
