Connect the tools without losing track of the work

Copying a value between tools can conceal a useful business decision. Before automating the copy, we establish which record is authoritative, what the destination needs and who handles an exception. An integration should reduce avoidable repetition while keeping important decisions understandable.

Follow one record across the boundary

Consider a fictional order moving from a Dutch distributor's webshop to its stock system and then to an accounting workflow. The systems may use different product identifiers, customer numbers and status names. We map those meanings before selecting an API or scheduling a transfer.

The work may include API assessment, field mapping, import validation, provider callbacks, background processing and an operator view. Existing connectors are assessed first. A supported connector can be the right choice when it fits the workflow and its limitations are understood; custom code is useful where an actual gap justifies its ownership cost.

Make repetition and delay safe

A provider may retry a notification or become unavailable after accepting a request. We agree how duplicates are recognised, how unfinished work is found and when an operator can safely repeat an action. Logging should help connect stages without collecting unnecessary customer information or secrets.

Keep specialist decisions with their owners

Accounting classifications, invoice requirements, payment policy and permitted data access come from the responsible organisation and its advisers. For an electronic invoicing connection, the recipient, provider and required format are checked explicitly; sending a PDF and delivering a structured invoice are different tasks.

Acceptance uses safe sample records and compares the destination with the intended result, including rejection and recovery. Access to provider accounts and representative test facilities affects scope. Bring an example of the manual handoff, the tools involved and the error people currently resolve by email or spreadsheet. We can then investigate the smallest useful connection.
